Office Administrator

Compensation: $22.00 per hour, up to 32 hours a week.

JOB SUMMARY:

In support of the mission and covenant of Unitarian Universalist Congregation of Grand Traverse, the Office Administrator (OA) is responsible for managing all aspects of the administrative needs for the Congregation with minimal guidance from the Senior Minister and the Board of Trustees. This includes, but is not limited to: managing and completing standard administrative tasks, managing facilities, purchasing, and communications. The OA is skilled in using applications for computers and is knowledgeable of the workings and policies of the Congregation.

ESSENTIAL FUNCTIONS:

Standard Administrative Tasks:

  • Manages Office phone, email, and front desk in a prompt, friendly, and efficient manner.
  • Maintains up-to-date online calendar with all committees, teams, and groups. Coordinates usage of the Congregation building and Zoom accounts for online meetings.
  • Manages building for events and space rentals, including recurrent events.
  • Assists Ministers in logistics for special services, including memorial services, weddings, and other rites of passage.
  • Assists committee chairs with logistics and communication of major congregational events, including the Annual Meeting, the Annual Budget Drive, and the Fall Fundraiser.
  • Prepares the Annual Report of the Congregation by compiling reports from various teams and committees.
  • Maintains congregational files and database of members and friends. Enters new visitor information, in collaboration with Senior Minister and Membership Team.
  • Maintains an organized filing system for both Office computers and file cabinets.
  • Coordinates completion of Order of Service (OOS) to have digital and print versions ready for Sunday. Adds copies of final OOS and sermon manuscript to binder for archives.
  • Follows and facilitates procedures for staff in cases of employee work-related injury, accident, or illness.
  • Supports Minister and other staff in performance of their duties as needed or requested.
  • Such other administrative duties, as assigned.
